D365: Quality management. Automatic quality order creation (2023)

Quality management allows you to provide and manage quality testing requirements for your business. This feature will help you to improve product quality within your supply chain.

You should define the following settings in D365 for the Quality management.

We will review all settings required for making the quality management work.

Inventory and warehouse management parameters

Navigate to Inventory management > Setup > Inventory and warehouse management parameters > Quality management tab.

Select ‘Use quality management’ checkbox in order to use quality management features.

Set ‘Hourly rate’ which is used to calculate an employee’s time spent on activities related to a non conformance.

Test instruments

Navigate to Inventory management > Setup > Quality control > Test instruments.

Test instruments are used to determine what equipment is needed to perform the test. A test instrument assigns a unit of measure that reflects the associated measurement and its decimal precision.

Click New to create a new test instrument.

Name instrument ‘Scale’

Enter a description of scale.

In the unit field, we select ‘kg’ for the unit of measure, and notice the precision field automatically updates with the precision that the unit of measure is configured for.

Create as many test instruments as you need.

Tests

Navigate to Inventory management > Setup > Quality control > Tests.

A quality order defines a set of one or more tests to perform for an item in a test quantity of its related order such as purchase, sales, or production, or a test quantity to pull from inventory.

Click New to create a new test.

In the Test field, type the test name.

In the description field, enter a description of temperature.

In the type field, we have the option to select fraction, integer, or option.

Note: Fraction and Integer are for quantitative tests. Option is for qualitative tests.

In the test instrument field, select the instrument that used to perform the test.

Test variables should be configured for the tests with Option type.

Test variables

Navigate to Inventory management > Setup > Quality control > Test variables.

Test variables describe acceptable and unacceptable test results when the test instrument measurement is option.

Click New button to create a new test variable.

Click Outcomes button to create a list of possible outcomes.

Click New button and create different outcomes.

For each outcome, select Outcome status whether is Fail or Pass.

Click Save and close the form.

So, in general the setup will look like below:

For our example 2 test variables with their outcomes are requires.

Color variable for color test

Sound variable for sound test

Item sampling

Navigate to Inventory management > Setup > Quality control > Item sampling.

Item sampling is the quantity of sample items checked during a test. The quantity specified is either a fixed amount or a percentage. Item samplings are used with test groups and quality associations.

Click New to create a new item sampling.

In the item sampling field, type the name 100 % and a description of 100%.

In the quantity specification field, select percent. Option to select is: fixed quantity or percent. If specific quantity is needed to be validated, specify fixed quantity. If specific percent is needed to be validated, specify fixed quantity.

In the value field, specify the value associated with the quantity specification. Enter 100. It means that all items will go through quality management.

In the process FastTab, you might select the full blocking checkbox which allow to block the entire quantity of the item or order being tested even if test a small portion of the order.

Additional settings are:

‘Per update quantity ‘checkbox allow to create a new quantity order if the item quantity is updated in the order.

‘Per storage dimension’ and ‘Per tracking dimension’ allow to create a quality order per unique combinations of storage and tracking dimensions.

Click Save and close the form.

Test Groups

Navigate to Inventory management > Setup > Quality control > Test groups.

Individual tests can be assigned to specific test group.

Click New button and create a test group.

Enter description in the description field.

In the acceptable quality level field, enter the acceptable percentage. It means how many tests should pass in order to successfully complete quality order. 100 means that all tests should pass.

We are going to create Laptop test group. This group will be used for validation all laptops that we buy from vendor.

The item sampling field is used to determine how many to test. For our example, all laptops must be tested.

Note: If the test you perform is a destructive test, mark the checkbox for the destructive test, and any of the items being tested automatically scraps at the end of the quality order. They are removed from inventory with a new transaction reference of quality order.

Add tests that should to be performed in the correct sequence.

Click Add button and attach a sequence number.

Effective and expiration date for each test can be specified.

Switch to the Test tab

For the Fractional/Integer tests values valid for particular test should be specified.

Populate the following values for the Fractional/Integer tests:

Minimum

Maximum

Minimum tolerance and maximum tolerance percentages will be updated accordingly

If you update either the minimum or maximum tolerance percentage, AX will update either the minimum or maximum value accordingly. This ability can be useful if you know the tolerance percentage but are not sure of the min or max values.

For our example, add weight test.

Switch to test tab and set the following:

For the Option tests select the following values:

Note: test measurement values are grayed out if test has Option type

For our example, add sound quality test

Lastly, add color test.

Quality associations

Navigate to Inventory management > Setup > Quality control > Quality associations

Quality associations are used to define:

  • transaction/trigger event
  • set of tests that must be performed (through test group)
  • acceptable quality level
  • set of items to be tested (All, Group, Table)

A quality order can be automatically generated for different business processes including purchase orders, quarantine orders, sales orders, and production orders. The quality associations form is used to create quality associations to automatically generate and track quality orders.

Let’s start the process by creating purchase order with item quantity of 2 pieces. Since quality associations created only for 1 piece, quality order for 1 piece will be created.

Confirm Purchase order.

Post product receipt.

Since Event type was set to ‘Product receipt’ and Execution is set to ‘After’, quality order will be created after product receipt posting.

Navigate to Inventory management > Periodic > Quality management > Quality orders.

Note that currently the test results display with a red X to indicate they are failing. This is because no test results have been entered. To enter results, select the test and click the results button.

For our example, select Color and click Results button. Default outcome is set by default but can be overridden.

Type the quantity being tested and click Validate button. If you type in in the Result quantity less than quantity on purchase order that is sent to validation, error message will be thrown.

The test result changes to a checkmark to indicate that the test has passed.

Click Save button and close the form.

Next, select the second test and click on the results button to record the results.

Enter a quantity and click validate. Test has passed since outcome is passing.

Save and close the form.

Next, select the third test and click on the results button to record the results. Since it’s Fraction test, Test result field mist be filled in.

Enter a quantity, test result (actual weight of laptop) and validate. Test has passed since standard was 2 kg, but tolerance was 10% for the test.

Save and close the form.

Once results are entered, test result and results entered columns are updated.

Click Validate button on the quality order to perform the validation all at once.

The validated by field will be set by default to the worker, assigned to the current user.

Note: If user is not linked to an employee, the field will be empty, and you will need to select an employee from the list.

Click OK.

For our example, all of the tests pass that’s why the status of the quality order is updated to Pass.

Now, let’s update Quality association to perform the tests for 100% products. For this purpose navigate to Quality association and update Item sampling to 100%.

Create Purchase order for 3 pieces.

Confirm Purchase order.

Post Product receipt.

Verify created quality order. Quality order for 3 pieces is created.

In this case, results for each test will be entered in the following way:

For the color test, colors for 2 laptops are right, but color for 1 laptop is mismatched to what has been ordered.

For the weight test, weight for 2 laptops are not suitable, but weight for 1 laptop is fine.

Sound test has passed.

Validate quality order. Not all of the tests pass that’s why the status of the quality order is updated to Fail.
